Steps in Submitted an Ancillary Event Request:

  Step 1: Review this information carefully on the types of events you can host during Virtuoso Travel Week, estimated pricing, and important information to help you make your selection.
  Step 2: Submit an Ancillary Event Request for each event type you would like to host. Event types are: lunch, pool cabana, dinner, conference space, meeting, etc. If you are hosting the same event over multiple days, you only have to submit 1 form.
  Step 3: Once your event is approved by Virtuoso, you will be connected with the hotel to confirm your event, sign a contract with the property and begin planning. Virtuoso approval does not mean the event has been confirmed by the venue.

IMPORTANT NOTES:

  • You cannot host an event during official Virtuoso Travel Week event hours.
  • Requests placed directly with the hotel for conference space, cabanas or restaurants will not be considered valid and will not be honored by Virtuoso. Only events requested through the Ancillary Events Request Form will be considered.
  • Requests placed directly with the hotel for Hospitality Suites or Entertainment Suites do not require Virtuoso approval and can be booked directly with the hotel of your choice.
  • Virtuoso’s approval does not mean the event is confirmed and booked by the host hotels – it means that your request to host an event during Virtuoso Travel Week has been approved by Virtuoso Events Team and you work now with the hotel directly.
  • No invitations should be sent to attendees until a contract is signed with the host hotel.

  • Conference space is limited at Bellagio and Aria for a meeting, or meal function.
  • A $500.00 Administrative Fee, per event, will be applied to the attending colleague's registration invoice in My Events. Tables, standard linens, and standard table meeting or meal function set up are included.
  • Food & beverage, audio visual, décor and entertainment will be at an additional cost, and subject to your final selections.
  • Virtuoso will contact you with the space available at your selected hotel. Once the space is confirmed, Virtuoso will add the corresponding fee to your invoice, and connect you with the Events team at your selected hotel for you to begin planning.
  • Bartenders may be required depending on the event you are planning. Bartenders are 1 per 75 guests.
  • All details for your event should be finalized no later than Friday, July 19.
  • The hotel will require a signed Banquet Event Order, and payment information to confirm your event. Payment policy and terms are at the discretion of the hotel.
  • Hospitality Suites must be booked directly with the hotel of your choice. Suite availability and room rate is subject to prevailing rates.
  • Hospitality Suites for sponsors will be managed by our Sponsorship team.
  • All food & beverage must be provided by the hotel.
  • Suites are booked as guestrooms with a check-in time of 3:00 PM and a check-out time of 11:00 AM. Depending on the time of your event and any additional set-up you may require, the suite will need to be booked for 2 nights.
  • Only the suite category can be guaranteed at time of booking – NOT the location of the suite or the suite number. The suite number is not available until the day of arrival and is subject to change by the hotel directly. Suite numbers should only be published to your guests once you have keys in hand.
  • Access to the suite is restricted to those with a key to suite as the elevator is key access only.
  • Elevator attendants are available, and prices range from $75.00 to $125.00 per hour, per attendant with a 2-hour minimum.
  • Bartenders are mandatory for all events serving alcohol and must be hired through In-Room Dining.
  • Entertainment and audio-visual should be kept to a minimum to prevent disturbing other guests.
  • All details for your event should be finalized no later than Friday, July 19.
  • Cabana events can only be hosted on Saturday, August 10 and Sunday, August 11.
  • Cabanas can be rented for use during the week (Monday, August 12 to Thursday, August 15) to meet with Advisors. Please reach out to the Events team at events@virtuoso.com for more details.
  • Cabanas’ events can take place during normal operating hours of the pool – but not during a Virtuoso official event.
  • Cabana pricing is based on the location of the cabana:
    • Bellagio Pool (Verona Resort, Milan Premium, Florence Spa): starting at $800.00 to $1,100.00 per day, per cabana. Click here for a map of the pool.
    • Aria Pool (Palm Pool, Palm Pool Mega, Yucca Pool, Yucca Mega): starting at $400.00 to $700.00 per day, per cabana. Click here for a map of the pool.
  • Cabanas can accommodate 5 to 10 people. Additional cabanas are needed for larger parties.
  • All food & beverage must be provided by the hotel.
  • Bartenders are mandatory for all events serving alcohol and must be hired through In-Room Dining.
  • All details for your event should be finalized no later than Friday, July 19.
  • Group dining:
    • Lunch requires a minimum of 12 people.
    • Dinner requires a minimum of 19 people.
  • Smaller parties will be handled as individual reservations at the requested restaurant.
  • Estimated costs for individual reservations:
    • Lunch: ranges from $90.00 to $125.00 per person, plus taxes and service charges, for food only.
    • Dinner: starting at $125.00 per person, plus taxes and service charges, for food only.
  • Requests for Buyout and Private Dining Rooms require MGM Leadership approval which can take 48 to 72 hours.
    • Food & Beverage minimums apply at each restaurant for Buyout and/or Private Dining Rooms’ requests.
