Virtuoso Travel Week is the ultimate annual global travel community event. Exclusive to the Virtuoso network, it features personal networking appointments, extensive Professional Development opportunities focused on business success, Community Globetrotting, and a celebration of the Members and Partners who make Virtuoso, the world’s top luxury travel network.

Saturday, August 10 through Thursday, August 15 in Las Vegas, Nevada at these three host hotels: Bellagio, Aria, and Vdara.

Virtuoso Travel Week is open to all Virtuoso Members, Advisors, and Global Preferred Partners.

Yes, you can request to host an event during Virtuoso Travel Week. Event Space Requests can be made from March 20 through April 19. For more information, please click here.

Please note: All events being hosted during Virtuoso Travel Week at one of the 3 host hotels MUST be approved by Virtuoso. All requests must be made via the Request Form. Your event will not be considered if requested directly from the hotel. NO events can be hosted during official Virtuoso Travel Week events.

Event space assignments will be confirmed via email no later than May 3, 2024. Should you have any further questions, please review the Ancillary Events section of this site or email us at events@virtuoso.com.

Hospitality Suites & Entertainment Suites do not require Virtuoso approval. Any suite request must be booked directly with the hotel of your choice. Suite availability and room rate is subject to prevailing rates. Suites are booked as guestrooms with a check-in time of 3:00PM and a check-out time of 11:00AM. Depending on the time of your event and any additional set-up you may require, the suite will need to be booked for 2 nights. Only the suite category can be guaranteed at the time of booking – NOT the location of the suite or the suite number. The suite number is not available until the day of arrival and is subject to change by the hotel directly. Suite numbers should only be published to your guests once you have keys in hand. All details for your event should be finalized with the hotel no later than Friday, July 19.

Health and Safety Protocols

YOUR HEALTH AND SAFETY ARE IMPORTANT TO US. 
As such, we highly recommend attendees be fully vaccinated to attend Virtuoso in-person events.  Wearing a mask is a personal choice. People may choose to mask at any time.  Virtuoso follows the local provincial and federal regulations of the host city related to mask mandates.

Virtuoso will continue to follow the recommendations of the local government authorities and the event venue's guidelines regarding face masks. Health guidelines and protocols are subject to change without notice. Virtuoso Events will make every attempt to communicate the most current guidelines prior to travel. Be sure to stay updated with local government authorities and regulations leading up to the event. Reference the BeWise Travel Entry Guide for the latest travel entry regulations, vaccination, and mask mandates.

Our 4 host hotels are: Bellagio Resort & Casino, Aria Hotel & Casino, The Cosmopolitan of Las Vegas and Vdara Hotel & Spa. 

Yes! During registration, please select Accommodations for yourself. You can also indicate that you will be sharing your room with another registered colleague.

Virtuoso room rates are inclusive of all taxes, and the resort fee has been discounted. Virtuoso room rates are only available through the registration site.   You can book a room directly with one of the host hotels at the prevailing rate the hotel is selling at when you make the call.

The specific room type or suite is subject to the prevailing rate the hotel is selling at when you make the call. It is also subject to any taxes and resort fees.

Virtuoso cannot book a specific room type or suite at a discounted rate on your behalf. Virtuoso room rates are inclusive of all taxes, and the resort fee has been discounted. Virtuoso room rates are only available through the registration site for the room types that are offered.

Ground transfers to/from the airport are not provided. Please arrange your own transportation to and from the airport. Ridesharing is encouraged!   

We encourage all attendees to download the Mobile Check-In App. The app allows you to skip the lines, check in to your room, and will act as your Digital Key to your hotel room. 

It's easy. Discuss which one of you will book the room during registration in My Events and have that person select "Yes I am Sharing" to generate the share code. The second person will then go to My Events and enter the share code when they arrive in the Accommodations step of registration. 
Pro tip: Sometimes the zeros look like the letter "O", so just call us if you need assistance. 

If you're walking, plan for about 15-20 minutes. There are walkways between all 4 properties.  If you plan on using the complimentary shuttle service, it takes about 5 minutes. The shuttle goes between Bellagio and Aria.  

Yes! Check the Virtuoso Events app for shuttle schedule and pick up & drop off locations.   

No, you don't have to stay at one of the host hotels. If you make alternate arrangements, you'll pay the conference-only price.  

Yes, each hotel has specific instructions. 

Yes. Bellagio, Aria, Cosmopolitan and Vdara are all non-smoking facilities. The convention spaces are also non-smoking areas; however, smoking is allowed outside on the patios.

Virtuoso Community Globetrotting

Virtuoso Community Globetrotting features several pavilions, each of which will be dedicated to a single Virtuoso Community: Adventure A, Adventure B,  Cruise A, Cruise B, Culinary, Family + Celebration, Sustainability, Ultraluxe A, Ultraluxe B, and Wellness.    

Community Globetrotting will take place on Saturday, August 10 and Sunday, August 11, on the third floor of Aria.

Community Globetrotting includes pavilions within the conference space. Each pavilion contains 12 Partner booths. During each session, Advisors will move to visit each Partner’s space in 10-minute appointments with groups of up to 8 Advisors.

Pavilions refer to the physical spaces devoted to individual communities. Each pavilion is devoted to meeting with Preferred Partners in a single community. Some communities have more than one pavilion. You can choose to attend any configuration of pavilions you’d like to attend if there is availability, regardless of whether you’re a member of that particular community or not.    

Sessions refer to the time slots available to attend specific pavilions. Each session is 2 hours and 10 minutes. Saturday, August 10 is comprised of three sessions and Sunday, August 11 is comprised of two sessions, meaning you’re able to attend a maximum of five pavilions overall. When you register for Virtuoso Community Globetrotting, you will first select which pavilion(s) you want to attend in sessions. We strongly recommend that you attend all five sessions to maximize your learning and networking experience.   

Advisors: Globetrotting fees are waived for Community Members as participation is a membership benefit. For any Non-Community Members, a one-time fee of $65.00 USD will be added to your registration invoice at a later date, which covers your participation for up to 5 sessions.

  Partners: Request to participate in Community Globetrotting is open from April 3 to April 26, 2024. If approved, a participation fee of $3,895.00 USD will be applied to your registration invoice. This fee covers your participation for both Saturday & Sunday.

No, all partners who wish to participate in Community Globetrotting must have at least one attendee representing their company for the full Virtuoso Travel Week event.

Advisors – You will need to add Saturday and/or Sunday to your Virtuoso Travel Week registration on the DAYS tab, then make your pavilion selections for those corresponding days on the AGENDA tab. 

Partners – You will need to add Saturday and Sunday to your Virtuoso Travel Week registration on the DAYS tab, then Request to Attend Community Globetrotting on the AGENDA under Saturday. By Requesting to Attend, you are committing to BOTH Saturday & Sunday Globetrotting sessions. You will be notified of your status on May 13, 2024. If approved, Virtuoso will update your personal agenda for both Saturday & Sunday.

Advisors – Your session times/pavilion choices will be confirmed immediately upon you selecting them (based on availability).  

Partners – You will be notified of your status on May 13. 

Yes, Advisors can make any changes to your session times/pavilion choices until July 31, based on availability, at which point all pavilion/session picks will lock.  
If you don’t get all your first choices, it is worth checking back at a later date to see if there is any new availability.

Yes, there is breakfast and lunch for Globetrotting participants who are participating in Globetrotting sessions on Sunday, August 10. Please note that you must request to attend the breakfast and lunch on your Agenda if you would like to attend. Virtuoso Events will flip you to attending once we have verified your Globetrotting participation.

Event Badge & Suggested Attire

Yes, wear your event badge while in the conference areas. Upon entry to the conference area, we will scan badges. No one is allowed into the conference area without an event badge. Keep your badge with you always and safe!  

Saturday through Thursday  - across all conference spaces
Suggested attire: Business Casual. Options that strike a balance between formal business and smart casual wear. 

Monday Evening – Monday Casual Night
Suggested attire: Resort Casual. Plan on nicer casual wear that prioritizes comfort.   

Thursday Night - Gala Celebration 
Suggested attire: Black-Tie Optional. Fashion and fun are always in style for Gala evening. We invite you to add to the ambiance with your signature fashion pieces. We really look forward to the ballroom full of finery and fun. This is your night to celebrate in Virtuoso style. 

Networking Appointments

Virtuoso Travel Week Las Vegas offers diverse Networking opportunities including Matched Appointments, Anytime Meetings, Self-Selected Meetings, Preferred Partner Lounge, Hotel Showcase and other opportunities to connect throughout the week.

Matched Appointments are 1:1 networking meetings based on attendee selection and preferences selected by participating Partners and Members. Matched Appointments take place each morning (Monday-Thursday). Please remember that attending Matched Appointments is mandatory.  

How do I make Matched Appointment selections? Use the Matched Appointment Tool, located under My Events > My Schedule. If you need detailed instructions, please refer to the Matched Appointments User Guide. 

 Note that your available selections each day will vary depending on Partners’ locations. The appointment tracks are divided into quartered sections, and Partners move through a different section each day. You will only be able to select matches from the group of Members/Partners that correspond to your location on a given day. If you are unable to find a specific person during your Matched Appointments, you can set up an Anytime Meeting (not during Matched Appointments).

  If you do not submit any or all of your own Matched Appointment picks, Virtuoso will automatically fill your schedule based on your Sales Preferences (selected upon registration). Please remember that attending Matched Appointments is mandatory.  

The number of assigned tables allocated to each agency is either determined by agency management (working with account managers) or based on the number of attendees from the agency. Virtuoso then assigns agency networking tables, taking into consideration each agency’s geographical market, selling guidelines, and special requests.  

Similar consideration is given to Partners. Partner track assignments are partially determined by their selling regions, and special requests (e.g. shared or adjacent tracks) to ensure the most productive and satisfactory meetings with Advisors.

There are many opportunities to meet with attendees not on your Matched Appointments schedule.    

Each afternoon (Monday-Thursday), you’ll have the afternoon from 2:00PM to 5:30PM to curate your own schedule with:

  • Anytime Meetings
  • Connect with participating Partners in the Preferred Partner Lounge
  • Connect with hotel Partners in the Hotel Showcase
  • Participate in Professional Development and Virtuoso presents Braindate
  • Schedule time with Virtuoso Departments including Account Directors, Account Managers, and experts from various departments.  

This year, Partners will SIT, and Members will MOVE.    
Partners - Appointment tables are located at both Bellagio and at Aria.

Virtuoso appreciates the creativity to bring attention to appointment tables. We hope the following guidelines provide clarity on acceptable table décor. Virtuoso works with our host hotels to ensure the safety of all Virtuoso-hosted event attendees. Please note the following items are NOT permitted:  

  • Tablecloths or clings that will cover the color of the table
  • Pop-up banners, banners set on the floor, posters on easels
  • Rugs/carpets placed on the floor
  • Flooring clings attached to the floor
  • Balloons of any type
  • Coffee machines/baristas
  • Outside food that is more than 2 ounces
  • Marbles, balls, or other toys that may cause injury to attendees if they fall on the floor
  • Bulletin boards, dry erase boards, wagons, cars, or any other items that are placed on the floor that can obstruct the pathway of the aisles
  • Other items that could create a safety issue for attendees

  • Ensure you have enough people on your team to cover all four days of appointments.  
  • Conduct yourself professionally. At all times, and throughout the event.
  • Be polite and kind. Treat all attendees, speakers, and Virtuoso staff professionally, ethically and respectfully. Please silence your phone and voice during presentations.
  • Honor commitments. This includes attending meetings, appointments, and events you agreed to attend.
  • Seek to understand. Aim to completely comprehend situations before jumping to any conclusions.
  • Report non-compliance issues. If you have a grievance, please notify us at any Virtuoso Desk or by emailing comment@virtuoso.com.
  • Share positive feedback. We love to hear good stories from our network. Please share with any Virtuoso staff member or by emailing comment@virtuoso.com.

Please don’t:  
  • Leave early.  If you participate in appointments, it is mandatory that your table/track be covered for the Matched Appointments Monday through Thursday. 
  • Be late or miss appointments. 
  • Represent multiple business roles or misrepresent your registered role at the event.
  • Distribute business cards from companies not associated with your registration for the event.
  • Promote non-Virtuoso products or services during the event.
  • Take calls during appointments. For urgent matters, please step outside.
  • Solicit for personal causes during appointments.
  • Poach employees or clients.
  • If and when speaking about your competitions, please do not use disparaging comments. Promote your own unique selling points instead.

Professional Development and Destination/Brand Training

Exclusive to the Virtuoso Network, Professional Development sessions are consistently one of the highest rated elements of Virtuoso Travel Week. We partner with world-renowned experts to take your career to the next level with sessions designed for all levels of experience and knowledge. 

Professional Development sessions are presented on Sunday, August 11 and Wednesday, August 14.  

Virtuoso Preferred Partners have created Destination and Brand Training classes that are sure to inspire you to the products and destinations your clients want most.

Yes, you can reach out to Virtuoso team members and schedule meetings throughout the week.   Consider emailing Virtuoso team members directly for available days/times.    

Go to My Events and then My Meetings. Once you click Create New Meeting, you can search by name or select Virtuoso Department meeting to see available Virtuosos.

Self Selected and Anytime Meetings

From Monday through Thursday you have each afternoon to curate your schedule with Hotel Showcase, Partners Lounge, Virtuoso Department and Anytime Meetings*.    

Simply go to My Events > My Meetings to get started. Click "Create New Meeting" to search for an attendee by name or company, or schedule meetings in one of the following: Cruise Café, Partners Lounge, Virtuoso Department and Anytime Meeting. 

  *Agency management participating under Executive Registration can schedule these meetings at any time. 

Connect with participating Preferred Partners from hotels and resorts, destinations and experiences, tourism boards, and more to make the connections you need to increase sales.

Meet with the Virtuoso team, including your account directors, from various departments to learn more about developments and goings-on at Virtuoso. 

Schedule meetings at a location of your choosing with fellow attendees.  Anytime Meetings are perfect if you didn't get to meet with an attendee you wanted to during your Assigned Appointments or if you just need extra, personal time with someone. Simply go to My Events and then My Meetings to get started. Once you click Create New Meeting, you can search for an attendee by name or company, or see the Participants List to save time.   

Dinners and Other Social Events

This year, Virtuoso will host two evening functions.  

  • Monday, August 12 – Monday Casual Night  
  • Thursday, August 15 - Gala Reception and Dinner  
  • Thursday, August 15 - Club V and The V Lounge

Once you're registered, go to My Events and find the Virtuoso Travel Week tile. Locate the Agenda square and the option to view or change it.   

For Monday Casual Night, scroll to Monday, August 12, and expand the selection. Scroll down to the Monday Casual Night option and select Request to Attend.    

For the Gala, scroll to Thursday, August 15, and expand the selection. Scroll down to the Virtuoso Gala Dinner option and select Request to Attend.    

Important note: Due to the high demand for these two evening events, all guests who Request to Attend are automatically placed on a waitlist. Virtuoso will confirm attendance at these events between June 12 and July 23.   

Gala reservations can be created in My Events > My Special Invites. A reservation can be a minimum of 2 attendees to a maximum of 10 attendees, including the host of the reservation. You must be approved to attend the Gala Dinner before creating a reservation, accepting an invitation to an existing reservation, or declining an existing Gala reservation. You can only invite guests to your reservation who have been approved to attend the event.    

All approved attendees have until July 28 to create a Gala reservation in My Special Invites, accept invitations to existing Gala reservations, or decline invitations to existing Gala reservations. 

After July 28, 2024, all reservations will be finalized, and no changes will be made.  

Should your reservation have fewer than 10 people, after Sunday July 28, Virtuoso Events will fill the remaining seats at the table by combining reservations to complete the table. 

In the event that you cannot attend Monday night’s function and/or the Gala Dinner on Thursday, you must cancel your attendance through My Events > My Agenda by July 25.  

If you do not cancel by the deadline, you will be charged a late cancellation fee of $250.00 USD. 

You will be charged a $250.00 USD no-show fee if you no-show at the event.
