The Gala Dinner is Sold Out!

We regret to inform you that due to the sold-out status of The Gala Sponsored by Fairmont, Raffles, and Madrid Tourist Board, Virtuoso cannot add any new attendees to the Gala Dinner and we are no longer managing a waitlist.

While we were unable to have you attend the Gala Dinner, Virtuoso would like to invite you to still join the fun at the Club V After Party located at Aria – Jewel, or the V Lounge After Party located at the Aria - Alibi. Please make sure you are registered for the Thursday conference day, as we will be scanning into both Club V and V Lounge after parties.

Gala Etiquette

  • Early access into the Grand Ballroom is not permitted. All Grand Ballroom doors are locked prior with security stationed outside. We do this to ensure a magical evening for all attendees -- we want the "big reveal" all together when doors open at 6:30PM.
  • If someone within your Gala Reservation cancels after July 28th, the host of the reservation cannot backfill the spot with someone else, and Gala seats are non-transferable. All reservations/seats are finalized through Virtuoso Events. Because of this, the following are not permitted:
    • Place cards/name cards for assigned seats at the table
    • Personal décor or centerpieces for the tables
    • Gifts
    • Personal Letters/Messages/Cards
  • All table assignments are final. Attendees do not have the authority to remove or “un-invite” someone at the assigned table. If you experience an issue within the ballroom, please find one of the Virtuoso Events team members to assist you.
  • Attendees are not able to order or purchase different wine or beverages during the event.

Black-Tie Optional. Fashion and fun are always in style for Gala evening. We invite you to add to the ambiance with your signature fashion pieces. We really look forward to the ballroom full of finery and fun. This is your night to celebrate in Virtuoso style. 

Packing Tips:  

  • Formal (floor-length) evening gown  
  • Cocktail dress or your dressiest dress 
  • Dressy separates 
  • Tuxedos or your finest interpretation, including cultural attire.
  • Dark suit with dress shirt  
  • Ties encouraged, but optional
  • Hello beautiful, don’t leave your shiny stilettos sparkly platforms, or kitten heels behind  
  • Bring an evening wrap or pashmina as the ballroom may be chilly

No fee for cancellations submitted by July 25.  

Any cancellation received on July 26 or later will result in a cancellation fee of $250.00 USD. 

Registration Process

To request to attend this year’s Gala, make sure to “Waitlist” for the event on your agenda during the event registration process. Everyone will be placed on a waitlist.

Virtuoso will send confirmation emails starting June 12 through July 23.

If you are not confirmed to attend, take this opportunity to connect with other attendees and join us at the after-parties at Club V and The V Lounge.

Confirmation Process

To acknowledge those attendees making the largest commitment to Virtuoso Travel Week, this year there is a new approach to the Gala confirmation process, outlined below.

Attendees participating one day or only Thursday of the event will not be confirmed to attend the Gala.   

All other Virtuoso Travel Week attendees will clear the waitlist in the following order and subject to availability:

  1. Attendees who were registered before May 3, and waitlisted for the Gala by May 3, and attending the full event (5 or 6 days, including Thursday, August 15), will clear the waitlist on or before June 12, subject to availability.
  2. Attendees who were registered between May 4 and June 12, and waitlisted for the Gala by June 12, and attending 2-4 days of the event (including Thursday, August 15) will clear the waitlist on or before June 12 in the following order, subject to availability :
    • Attending 4 days, including Thursday  
    • Attending 3 days, including Thursday  
    • Attending 2 days, including Thursday 
  3. Attendees who waitlisted themselves for the Gala after June 12 will clear the waitlist subject to availability.

Confirmed Attendance

Once confirmed to attend Gala, you have three options for table arrangements,

  1. Create a Gala reservation and invite your friends or colleagues to sit with you.
  2. Receive and accept an invitation to join someone's Gala reservation.
  3. Allow random assignment to a Gala table where you can reconnect with friends and meet new people.

Gala Reservation Process

On June 13, 2024, the My Special Invites tool in My Events will open for creating a Gala table reservation. View My Special Invites instructions here. The reservation process is outlined below:

  • Only those cleared to attend the Gala can create a Gala reservation.
  • A Gala reservation can accommodate 2 to 10 people (including the host of the reservation). Initiating a Gala reservation does not guarantee a full table unless you have a reservation with 10 people.  
  • The last day to create a Gala table reservation is Sunday, July 28 at 11:59 PM CST.
  • Should your Gala reservation have less than 10 people assigned on or after July 28, Virtuoso will merge your reservation with other smaller reservation to fill a table of 10. 
  • After July 28, all Gala assignments will be final, and no changes will be accepted.

Invitations to a Gala Reservation

All requests must be sent in the My Special Invites tool in My Events. Any requests sent by other channels, such as email, are not valid and will not be honored. The My Special Invites tool will not allow you to send an invitation to anyone still on the waitlist or did not request to attend Gala.

Invitations can only be sent to those confirmed to attend Gala on their personal agenda and:

  • Have not accepted a previous Gala reservation
  • Did not create their own Gala reservation

Multiple Gala Reservations

A company can create multiple Gala reservations. If you want your reservations assigned to tables near each other, please name your reservations in the following format to help ensure we can accommodate this request.

  • Company Name – Host #1 Name
  • Company Name – Host #2 Name
  • Company Name – Host #3 Name
